Consultation and Coordination

 

Consultation by the hour:                               75.00 (2 hour minimum)

This can be one of the most informative phone or in person meetings you can have.  Whether we discuss venue suggestions or budget help or overall design it will be the best money spent on your event.  If you choose any of our packages this initial consultation fee will be deducted from your event.

 

The Last Minute Event                                  

You have less than a week to plan your event.  It could be a fabulous 10 person dinner party or an elopement celebration for 100!  Either way you don't have a lot of time. We excel under pressure and will come to your rescue!  Pricing dependent upon specific client needs.

 

The Social Event (non-wedding)                    950.00 or 10% of total budget - whichever is greater

Check-in of vendors and deliveries
- In-person meeting at your event venue to discuss and develop timeline, floor plan and decor

- Oversee set up of event sites and making sure every detail is to your specifications

- Review of all vendor contracts
- Development of timeline and assurance all vendors adhere to timeline
- Emergency kit on hand at all times
- Assisting with set-up of special details such as favors, place cards, and personal items
- Making sure your photographer is getting the shots you want
- Ensure music is cued where appropriate
- Organizing grand entrance
- Maintaining communication with the caterer to assure you and your guests are taken care of
- Ensure all leftover items are properly stored in the hosts vehicle  
- Making sure all of your gifts and personal items are properly packed with designated person or transportation
- Distribution of any final payments to vendors

 

As a guideline custom pricing will usually reflect 10% of the total wedding budget

Day of and Rehearsal Coordination:                Custom pricing based on client needs

(By the way -- many planners will try to sell you just the day of package.  We feel it is necessary to get to know you and your fiancée as well as important family members and friends prior to the wedding day to provide with a flawless day!)
You have planned all the details, but now you want to relax and enjoy your special day. We know how stressful it can be wondering if your every desire will be achieved and properly executed.  After all, you've been  planning your wedding for months and dreaming about it for years. Two weeks before your wedding day we will have a face to face consultation to discuss every detail of your wedding including all vendors and contact information, design details, seating chart, floor plan, and more. At that time we will also develop a wedding timeline to be distributed to your vendors. You will also be able to drop off any personal items such as toasting flutes, favors, guestbook, and place cards before the wedding. All of your vendors will be confirmed the day prior to your wedding. We will coordinate your rehearsal for one hour on the day before your event. On the day of your wedding we will be at your beck and call for 8 hours and provide the following services:

- In-person meeting at your event venue to discuss and develop timeline, floor plan and decor

- Up 4 advice / recommendation calls on vendors, etiquette, etc.

- Check-in of vendors and deliveries
- Oversee set up of ceremony and reception sites (making sure every detail is to your specifications)
- Distribution of wedding timeline
- Emergency wedding kit on hand at all times
- Assisting with set-up of special details such as favors, place cards, and personal items
- Distribute flowers, bouquets, boutonnieres 
- Ensure officiant has marriage license
- Making sure your photographer is getting the shots you want
- Ensure ceremony music is cued
- Lining up the bridal party and coordinating processional and recessional
- Gathering bride, groom, wedding party, and family for pictures
- Assuring reception music is cued and ready for the chosen music selections
- Keep bride and groom aware of when to make entrance, first dance, cake cutting and so on
- Maintaining communication with the caterer to assure you and your guests are taken care of
- Ensure top layer of cake or slices are saved and packaged for anniversary
- Making sure all of your wedding gifts and personal items are properly packed with designated person or transportation
- Distribution of any final payments to vendors

 

Just the Details:       Custom pricing based on client needs
 You have your location booked, now you need "just the details" secured. You know exactly what you want, but do not have the time to see vendors who cannot bring your dream to life or meet your budget. White Light Event Design works with a large variety of vendors including caterers, entertainers, florists, lighting specialists, and more. We will start with a face to face meeting to discuss everything you want to see at your wedding and brainstorm on design, concept, and theme.

 From there we will:
-Establish a budget for your remaining vendors
-Set-up appointments with our trusted vendors who can execute your fantasy while staying within your budget
-Include Three face to face appointments at our office or at location/vendor of your choice
-Review all of your contracts with your vendors and answer any questions you may have in regards to the terms
-Communicate with your vendors making sure everything is falling into place as your wedding day nears
-Be there via phone or e-mail to answer any questions you may have or advise you may need
-Recommendations for attire
-Accompany you to caterer meeting/tasting to assist with menu planning 
-Create seating chart and Floor Plan
-Inspect site to go over details and logistics
-All services of the "Day of Coordination" package included
 
Picture Perfect Wedding:     Custom pricing based on client needs
 You and your fiancée are the picture perfect couple and now you want the wedding to match, but where do you begin? That's where we come in. The "A Picture Perfect Wedding" package comes with all the inclusions of the " Just the Details" package and the "Tour de Locations" package, as well as:
-Two additional  face to face appointments at our office or at location/vendor of your choice
-Budget analysis and development
-Unlimited vendor referrals
-Negotiations with vendors
-Invitation assistance
-Hotel recommendations for our out-of-town guests

-NEW 5 page website dedicated to all the special information for your guests!  Fantastic for destination weddings!
 

Your Wedding Should Be Televised:   Custom pricing based on client needs
 You haven't applied for your SAG Card just yet, but why shouldn't you be given the celebrity treatment. Our "Your Wedding Should be Televised" packages comes with all the inclusions of our "A Picture Perfect Wedding" package and much, much more including:

-Unlimited face to face appointments at our office or at location/vendor of your choice
-Assistance with save the dates, custom favors, and more
-Travel arrangements including reservations of blocked rooms for your guests
-Assistance with honeymoon planning
-Coordination of rehearsal dinner and next day brunch arrangements
-Coordination of activities for out of town guests
-Accompaniment to all attire fittings
-Assistance with out of town baskets and gifts
-Personalized wedding website
-Assistance with booking national and international entertainment acts
